FSSAI Food License Registration for Event Management Company

Event management means managing a project to create and organise large-scale events such as formal parties, ceremonies, festivals, weddings, conferences, conventions, or concerts. It involves identifying the target audience, coordinating the technical aspects and devising the event concept before launching it. 

Event management companies undertake event management projects. Food plays an integral part in the events organised by the event management companies. The company must serve quality food to the guests who attend the event. Hence, they need to get an FSSAI license registration to operate and meet the legal requirements.  

Why FSSAI License Registration is needed for an Event Management Company?

The event management companies arrange events for their clients, who may be corporates or individuals. They need to treat the guests who attend the event with the best hospitality, which includes good quality food. Nowadays, every event serves food, and good food contributes to the success of the event and, in turn, the event management company.

Generally, the food prepared at the events is at a large scale. The event management company needs to keep the food served at the event fresh and hygienic. The Food Safety and Standards Authority of India (FSSAI) lays down guidelines and regulates the hygiene and safety of food products in India. Since the event management company serves food, it is mandatory to get the FSSAI License Registration. Non-compliance to obtain FSSAI Licence by the company will attract penalties. 

Types of FSSAI License Registration for an Event Management Company

There are three kinds of FSSAI licenses, i.e. FSSAI Basic Registration, FSSAI State License and FSSAI Central License. The FSSAI has provided the category of food business operators and the type of licenses each category needs to obtain. The event management company comes under the category of ‘Banquet halls with food catering arrangements’. 

The ‘Banquet halls with food catering arrangements’ category of FSSAI registration means where a person or company uses a specified area such as a hall for the purpose of hosting ceremonies or parties involved in the preparation and serving of food to customers for consumption.

Since the event management company arranges events such as ceremonies, parties, conferences, etc., in specified areas, such as halls or open grounds that involve serving food, they come under this category. 

Thus, the event management company needs to apply for an FSSAI registration under the category of banquet halls with food catering arrangements as per their turnover provided below:

  • FSSAI Basic Registration – Companies with an annual turnover of up to Rs.12 lakh need to apply for the FSSAI basic registration. They must fill Form-A to obtain an FSSAI registration.  
  • FSSAI State License – Companies with an annual turnover of more than Rs.12 lakh need to apply for the FSSAI state license. They must fill Form-B to obtain the FSSAI License.

FSSAI License Application Procedure

  • Visit the FoSCoS website
  • Select the ‘Apply/License Registration’ tab on the homepage.
  • Select the state where the company is established from the drop-down menu.
  • Click on the ‘Food Services’ option displayed on the screen below.
  • Select the ‘Food Vending Establishment’ option from the list, select the applicable turnover option and click on the ‘Proceed’ button.
  • On the next page, click on the ‘Click here to apply for Registration for all businesses’ or ‘Click here to apply for State License for all businesses’ button.
  • Fill in the details in Form-A or Form-B and click on the ‘Save & Next’ button. 
  • Next, upload the documents and proceed further.
  • Pay the registration fees and submit the FSSAI registration form.
  • The FSSAI authorities will go through the application form and documents. They may inspect the food premises (company premises) if required.
  • The FSSAI authorities will give the FSSAI Registration Certificate when they are satisfied that the event management company meets all the required criteria. The company can download the FSSAI registration certificate from the FoSCoS portal.

The company representatives can also apply for the FSSAI registration offline by visiting the commissioner of food safety or officer-in-charge for food safety and getting the appropriate registration form, i.e. Form-A or Form-B. They must fill the application form and submit it with the documents to the officer-in-charge in the food safety department. The authorities will review the applicant and grant the FSSAI license or registration.

Documents Required for an FSSAI Registration

The documents that the event management company must submit to obtain an FSSAI registration are as follows:

  • Certificate of Incorporation. 
  • Memorandum of association and articles of association.
  • List of all the directors and their ID proof.
  • Proof of expected annual turnover.
  • Proof of possession of company premises, i.e. rental agreement, sale deed, etc. 
  • List of foods provided.

The documents that the event management company must submit to obtain an FSSAI state license are as follows:

  • Proof of office address of the company.
  • List of all the directors.
  • Certificate of Incorporation. 
  • Memorandum of association and articles of association.
  • Proof of expected annual turnover.
  • List of foods provided.
  • Food safety management system plan or certificate.
  • Photo ID and address proof issued by the government authority of the director or authorised signatory.
  • Analysis report (chemical and bacteriological) of water used in foods from a recognised or public health laboratory to confirm the quality of drinkable water.
  • Proof of possession of company premises, i.e. rental agreement, sale deed, etc.
