How To Register DSC On MCA

The Digital Signature Certificate (DSC) is the electronic signature of an individual in an encrypted form. The Certifying Agencies appointed by the Controller of Certification Agencies (CCA) issues the digital signature for individuals. The DSC’s are stored in encrypted USB drivers that can be accessed only with a password.

An individual has to obtain Class 3 DSC for filing various government returns online such as company annual return, GST return, income tax return, and completing other statutory filings. The Indian companies can file for company registration online on the MCA portal and e-file company documents and returns by attaching the DSC of the authorised persons. 

Thus, all the company e-forms, returns, and documents filed on the MCA portal must be signed digitally by affixing the DSC of the authorised persons such as company proprietors or directors or managers or CA of a company. It is mandatory for the authorised persons to associate or register their DSC on the MCA portal to make e-filing feasible online.

Who Can Register DSC on MCA Portal?

Any person who needs to file documents relating to a company online must mandatorily register their DSC on the MCA portal. The following persons must register DSC on the MCA portal:

  • Directors of a company
  • Managers of a company
  • Chartered Accountant (CA) 
  • Practising professionals, i.e. members of ICAI, ICSI, and ICWAI 
  • Authorised representatives of a company
  • Nodal Officers of IEPF
  • Deputy Nodal Officers of IEPF

Registration of DSC on MCA Portal

The registration process of DSC on the MCA portal for different persons is given below.

Process to Register DSC for Directors

  • Visit the MCA portal.
  • Click on the ‘MCA Services’ tab on the MCA portal homepage.
  • Under the ‘DSC Services’ option, click on the ‘Associate DSC’ button.
  • Next, select the role as ‘Director’ from the drop-down list.
  • On the next page, enter the DIN/DPIN (Director Identification Number/Designated Partner Identification Number).
  • Fill in the required details such as name, date of birth, father’s name and click on the ‘Next’ button. The system will verify the details as provided in Form DIR-3/DIR-6 by the director.
  • Enter the email address and click on the ‘Select Certificate’ button. To upload the DSC, download and install MCA E-Signer from the link provided on the screen.
  • Select/tick the ‘Declaration’ and click on the ‘Submit’ button.
  • Another page will open, requesting the user to select the digital signature and enter the DSC password. 
  • Click on the ‘Submit’ button. An acknowledgement message will appear stating that the DSC has been successfully associated with the MCA.

Process to Register DSC for Manager/Secretary/CEO/CFO

  • Visit the MCA portal.
  • Click on the ‘MCA Services’ tab on the MCA portal homepage.
  • Under the ‘DSC Services’ option, click on the ‘Associate DSC’ button.
  • Next, select the role as ‘Manager/Secretary’ from the drop-down list.
  • On the next page, enter the income tax PIN.
  • Fill in the required details such as name, date of birth, father’s name and click on the ‘Next’ button. The system will verify the details as provided in Form DIN-3.
  • Enter the email address and click on the ‘Select Certificate’ button. To upload the DSC, download and install MCA E-Signer from the link provided on the screen.
  • Select/tick the ‘Declaration’ and click on the ‘Submit’ button.
  • Another page will open, requesting the user to select the digital signature and enter the DSC password. 
  • Click on the ‘Submit’ button. An acknowledgement message will appear stating that the DSC has been successfully associated with the MCA.

Process to Register DSC for Practising Professional

  • Visit the MCA portal.
  • Click on the ‘MCA Services’ tab on the MCA portal homepage.
  • Under the ‘DSC Services’ option, click on the ‘Associate DSC’ button.
  • Next, select the role as ‘Practising Professional’ from the drop-down list.
  • On the next page, select the Institute (ICAI, ICSI, or ICWAI), enter the date of enrollment, membership number, certificate of practice number, select the membership type and click on the ‘Next’ button. The system will verify the details from the records provided in the concerned professional institute.
  • Enter the income tax PAN. Verify and confirm the PAN. 
  • Click on the ‘Select Certificate’ button. To upload the DSC, download and install MCA E-Signer from the link provided on the screen.
  • Select/tick the ‘Declaration’ and click on the ‘Submit’ button.
  • Another page will open, requesting the user to select the digital signature and enter the DSC password. 
  • Click on the ‘Submit’ button. An acknowledgement message will appear stating that the DSC has been successfully associated with the MCA.

Process to Register DSC for Authorised Representative

  • Visit the MCA portal.
  • Click on the ‘MCA Services’ tab on the MCA portal homepage.
  • Under the ‘DSC Services’ option, click on the ‘Associate DSC’ button.
  • Next, select the role as ‘Authorised Representative’ from the drop-down list.
  • Enter the income tax PAN, personal details, contact details, email ID, and click on the ‘Select Certificate’ button on the next page. To upload the DSC, download and install MCA E-Signer from the link provided on the screen.
  • Select/tick the ‘Declaration’ and click on the ‘Submit’ button.
  • Another page will open, requesting the user to select the digital signature and enter the DSC password. 
  • Click on the ‘Submit’ button. An acknowledgement message will appear stating that the DSC has been successfully associated with the MCA.

Process to Register DSC for Nodal Officer – IEPF

  • Visit the MCA portal.
  • Click on the ‘MCA Services’ tab on the MCA portal homepage.
  • Under the ‘DSC Services’ option, click on the ‘Associate DSC’ button.
  • Next, select the role as ‘Nodal Officer-IEPF’ from the drop-down list.
  • On the next page, enter income tax PAN.
  • Fill in the required details such as name, date of birth, father’s name and click on the ‘Next’ button. The system will verify the details from the records provided in the IEPF authority.
  • Enter the email address and click on the ‘Select Certificate’ button. To upload the DSC, download and install MCA E-Signer from the link provided on the screen.
  • Select/tick the ‘Declaration’ and click on the ‘Submit’ button.
  • Another page will open, requesting the user to select the digital signature and enter the DSC password. 
  • Click on the ‘Submit’ button. An acknowledgement message will appear stating that the DSC has been successfully associated with the MCA.

Validity of DSC

The DSC issued by the Certifying Agencies to an individual is valid for a period of two or three years. Thus, the individuals need to renew the DSC before it expires. After the renewal of the DSC, the authorised signatories need to register the renewed DSC on the MCA portal by following the same process of registration given above.

The benefits of registering DSC with the MCA portal are as follows:

Lessened time and cost: The authorised persons who can sign company documents and forms can save their time and cost as they do not have to physically fill the documents, sign them and send them to the Registrar of Companies. It can be done quickly online on the MCA portal by affixing the DSC. Moreover, with the help of DSC, the authorised persons can digitally sign the e-forms, e-mails, and other statutory documents.

Data integrity: The electronically signed documents with the help of DSC ensures the integrity of data. The government agencies ask Indian companies for signing the documents with a DSC as it will certify and validate the authorised business transaction conducted by the company. 

Authenticity of document: The documents signed using a DSC ensures their authenticity.  The documents submitted by the Indian companies with attached DSC ensures the Registrar of Companies that the documents are neither altered or tampered with.
